Dear AsiaLex 2026 Participants,

We would like to share some important information regarding the upcoming AsiaLex 2026 conference in Yogyakarta.

1. Travel Update

Following the recent eruption of Mount Anak Krakatau, a number of flights have been affected, with delays and disruptions reported on several routes. In particular, flights involving Jakarta (CGK/Soekarno-Hatta International Airport) as a transit point may have been affected.

We would also like to reassure all participants that Yogyakarta remains safe, and AsiaLex 2026 will continue as scheduled and in accordance with the announced program.

As of the latest update, Soekarno-Hatta International Airport (CGK) has reopened and resumed operations since 1:00 AM on September 8, 2026 WIB (GMT+7). However, flight schedules and operations may still be subject to changes. We therefore strongly recommend checking your flight status directly with your airline before traveling.

2. Alternative Routes to Yogyakarta

For our international participants, we kindly recommend checking your flight status carefully and, where possible, considering alternative routes that do not transit through Jakarta (CGK). Participants may consider alternative international gateways to Yogyakarta, including Singapore (SIN) and Kuala Lumpur (KUL), which may offer direct flights to Yogyakarta International Airport (YIA), subject to flight availability and the latest airline information. Alternatively, participants may consider flights with a transit in Denpasar (DPS/Bali) before continuing to Yogyakarta (YIA), depending on flight availability.

3. Hybrid Participation

Recognizing that some participants may still be unable to reach Yogyakarta as originally planned due to circumstances beyond their control, the Organizing Committee will facilitate participation via a hybrid format. For those who are unable to attend in person, the Zoom link for online participation will be shared by the evening of September 8, 2026, at the latest.

4. Technical Procedures for Online Presenters

a. Main Zoom Room
The opening remarks, keynote speakers' sessions, Annual General Meeting, and closing remarks will be held in the main Zoom room.

b. Breakout Rooms
There will be four breakout rooms for the panel sessions. The schedule for each session in each room will continue according to the program available on the AsiaLex 2026 website.

c. Presentation and Discussion Time
The time allocated to each online presenter will remain the same as for offline presenters, which is 30 minutes in total:

• 20 minutes for the presentation

• 10 minutes for discussion

d. Joining the Zoom Session
Online presenters should join the Zoom meeting 20 minutes before the beginning of their session. All presenters, both online and offline, are expected to attend and participate throughout the entire session. This will allow presenters to listen to the other presentations and participate in the discussions following other presenters' presentations.

e. Session Chair
Each session will be led by a chair who will open the session, invite each presenter to begin their presentation, lead the discussion, and close the session.

• • • The first presenter listed in each session will serve as the chair. However, another presenter in the same session may serve as chair if this has been agreed upon by the participants in the session.

    • A committee member will be assigned to each breakout room and will appoint a chair if the original chair is unavailable.

f. Presenter Certificate
All presenters, both online and offline, will receive a presenter's certificate.

5. Registration and Payment

For participants who have not yet completed their registration fee and plan to pay on-site, if you intend to present your paper and have your paper included in the conference proceedings, we kindly ask you to complete your registration payment. Please refer to the registration payment information provided below.

Please note that any bank transfer or payment administration fees, if applicable, are to be borne by the participant.

6. Registration Fee Policy

Please also note that, in accordance with the registration policy, registration fees are non-refundable. We sincerely appreciate your understanding regarding this policy, particularly under the current circumstances.

7. We Hope to See You in Yogyakarta

Even if you are unable to arrive in time for the first day of the conference, we sincerely hope that you will still be able to make it to Yogyakarta and join us for the remainder of AsiaLex 2026. We would be very happy to welcome you whenever you are able to arrive.
